A clearer month-end handoff
A practical preparation checklist and a fictional reconciliation example for scoping an accounting, data or workflow project.
Before the work starts
- Define the period and scope. Name the accounts, reporting period, source systems, required outputs and person responsible for review.
- Collect the source records. Gather the relevant statements, exported ledger, prior reconciliation and supporting documents through an agreed secure channel.
- Keep an exception list. Record unmatched entries, missing evidence, owner, next action and review status. Do not silently force a difference to zero.
- Agree on the handoff. Specify the reconciliation working paper, cleaned file, open-item register and brief process notes.
A small worked example
Entirely fictional data, created to show the shape of a deliverable. This is not a client result, testimonial or assurance engagement. Amounts are in CAD.
| Item | Amount | Review note |
|---|---|---|
| Opening book balance | $10,000 | Agrees to prior close |
| Recorded deposit | +$2,500 | Matched to statement |
| Recorded payment | −$1,200 | Matched to statement |
| Book balance before review | $11,300 | Statement shows $11,285 |
| Statement fee awaiting review | −$15 | Confirm support and approval before posting |
| Illustrative adjusted balance | $11,285 | Difference after the assumed adjustment: $0 |
A zero difference alone does not validate every transaction. The deliverable also records the evidence checked, the proposed adjustment and who reviewed it.
What a handoff can contain
- A reconciliation with opening and closing balances, matched entries and outstanding items.
- An exception register with ownership and unresolved questions.
- A short record of assumptions and approved corrections.
- Repeatable input, naming and review steps for the next period.
Send a useful first brief
Describe the type of work, number of accounts or files, period, tools used and desired deadline. Avoid sending passwords or sensitive source records in an initial email; agree on scope and transfer arrangements first.
